From six tools to one system
Six days in, you have six AI layers running. Each one works in isolation. Today we make them work TOGETHER as one operating system. The difference between 6 disconnected tools and 1 integrated system is everything. Disconnected: the AI receptionist takes a booking, but it doesn't trigger your AI lead-nurture sequence. The AI customer-service answers a question, but doesn't update the customer record. The AI content engine posts daily, but doesn't see which posts drove inbound leads. Integrated: every layer talks to the others. A booking triggers an invoice + a follow-up sequence + a calendar block + a tag in your CRM. One trigger, six results. Today's payoff is the highest in the course because you're not adding new tools — you're connecting what's already there, and that's where the 10x productivity unlock lives.
Key points
- →Six AI layers running but isolated = limited gain
- →Integrating them = exponential gain
- →No new tools today — just connections
- →This is where the real 10x productivity unlock lives

The central nervous system: Zapier or n8n
Every integrated AI business has a central nervous system. The two real options in 2026: Zapier (most user-friendly, $20-50/mo) or n8n (open-source self-hosted, free if you're technical). For 95% of small businesses: Zapier. Setup: in your Zapier account, list every AI tool you installed this week. For each tool, connect it to Zapier (most are 1-click OAuth). Now Zapier can see everything happening across your AI layers. The pattern that unlocks integration: each tool that DOES something also UPDATES a central record. We'll use Google Sheets as that record (free, simple, audit-friendly). Every booking, every reply, every newsletter signup → row in a sheet → other automations watch the sheet for triggers. Total setup: 1 hour for the connections, another 1-2 hours for the first 5 integrated flows. By end of today, your AI tools share data in real time.
Key points
- →Zapier ($20/mo) is the right choice for 95% of small business
- →n8n free + self-hosted if you have technical capability
- →Pattern: every AI action writes to a central sheet → other automations react
- →Setup: ~3 hours total for full integration
Lesson 310 min
Flow 1: New booking → 4 things happen
Let's build the highest-value integration first. Trigger: someone books on Cal.com (could be from AI receptionist, website chatbot, or direct link). Actions: 1) Add row to Customer Sheet in Google Sheets (name, email, source, service, date). 2) Send confirmation email + add to calendar (Cal.com does this natively). 3) Schedule reminder SMS for 24 hrs before (Zapier → Twilio). 4) Trigger drip sequence: 1 day before, day-of, 1 day after — each with AI-personalized content from Claude. Setup: build this in Zapier as a multi-step Zap. 6 actions total, 30 min to wire up. Now every booking automatically triggers your entire customer-journey playbook. You did nothing. Customer received: confirmation, reminder, day-of welcome, post-event follow-up. That's a $200/hr consultant's workflow running for $0.10 per booking.
Key points
- →Trigger: Cal.com booking
- →4 auto-actions: log to sheet, confirm + calendar, SMS reminder, drip sequence
- →30 min to build in Zapier
- →Result: $200/hr consultant workflow for $0.10/booking
Lesson 410 min
Flow 2: New customer → onboarding sequence
Trigger: a row marked 'paid' or 'completed' in your Customer Sheet (set by your AI invoicing flow). Actions: 1) Send welcome email with what to expect next. 2) Send post-service survey 48 hours later. 3) Request Google review 7 days later. 4) Schedule quarterly check-in 90 days later. 5) Add to email newsletter list. 6) Tag in CRM (HubSpot free / Notion / Airtable). All AI-personalized via Claude reading their service history from the sheet. Setup: 45 min in Zapier. Long-term impact: every new customer goes through your full retention sequence WITHOUT YOU. Repeat customer rates typically jump 20-40% from this single flow alone.
Key points
- →Trigger: customer marked 'paid' / 'completed' in central sheet
- →6 auto-actions span 90 days: welcome, survey, review request, quarterly check-in
- →All personalized by Claude reading service history
- →Typical lift: +20-40% repeat customer rate
Lesson 510 min
Flow 3: Hot-lead alert chain
Trigger: any AI layer detects a HOT lead (receptionist, chatbot, email, DM — all configured on Day 2). Actions: 1) Add high-priority row to Customer Sheet flagged HOT. 2) SMS you immediately with name + first message. 3) Add to Reclaim 'urgent callbacks' habit so your calendar auto-makes time. 4) Auto-send a personal thank-you message: 'Hi [Name], we got your message. [You] will call you within 60 minutes.' This last action sets a 60-minute SLA you have to hit. The AI commitment forces YOUR behavior. Setup: 30 min. Result: hot leads always get human response within 60 min. Conversion rate on hot leads typically: 60-80%. Without this flow, most hot leads die from delay.
Key points
- →Hot lead trigger: any AI layer detects urgency
- →AI commits TO the customer that human responds in 60 min — forces YOU to deliver
- →60-min SLA gates the conversion: hit it, win 60-80% of hot leads
- →Without this flow: most hot leads die from delay

The morning dashboard (10 min/day check-in)
Now that everything runs automatically, you need ONE place to monitor it. The morning dashboard is a single Notion page (or Google Sheet) that pulls from your central sheet + AI tool dashboards. Show: today's bookings, hot leads needing response, yesterday's revenue, this week's content posts, customer issues escalated to you, calendar for today. Build it in Notion (free) using their built-in database views. Total morning check-in: 10 minutes. You see exactly what your business did overnight, what needs your attention, what's running smoothly. The dashboard becomes your single source of truth. Open every morning. Triage in 10 minutes. Close it. Get back to revenue work.
Key points
- →Single dashboard pulls from all AI tools
- →Notion (free) or Google Sheet — your call
- →Daily 10-min check-in replaces ALL the individual tool checking
- →Show: bookings, hot leads, revenue, content, escalations, calendar

Maintenance + quarterly tune-up
AI tools change. Pricing shifts. New features launch. Your system needs quarterly tune-up to stay sharp. Block 1 hour every 90 days: review each AI tool — still using it? still the best? still working? Audit the central sheet for stale flows. Check each integration is still firing. Review key metrics: response rates, conversion rates, customer satisfaction, time saved. Make ONE improvement per quarter. Over 12 months, that's 4 meaningful improvements = a system that gets better every year while running itself between tune-ups. Subscribe to Iris Bites for free updates as the AI landscape changes (one tool gets replaced, one workflow improves) — we'll send the tune-up briefing every quarter. You're done with the course. Welcome to running an AI-powered business that runs while you sleep.
Key points
- →AI tools shift every 90 days; quarterly tune-up keeps system sharp
- →1 hour, every quarter — audit tools, flows, integrations, metrics
- →ONE meaningful improvement per quarter = compounding gains
- →Subscribe to Iris Bites for free quarterly update briefings
